Email Campaign Requests

We’ve put together this helpful guide for submitting email campaign and automation requests. These guidelines are put in place to process your request as efficiently as possible. In this guide, we will go over turn around times, approval flows, and important information to include on your requests.

3 FULL BUSINESS DAYS

Please be advised that our our standard turnaround time for building email campaigns and automations is 3 full business days from the receipt of a complete request. Once your campaign or automation is created, you will receive a test email to review.

We strive to fulfill all submissions within the specified timeline. However, delays in responsiveness or approvals, missing content, requested revisions, and peak seasons such as Independence Day, Black Friday, and other holidays may lead to longer turnaround times.

SUBMITTING CONTENT

There are two methods available for submitting content when requesting an email campaign or automation. You may either attach your content directly to your ticket submission or share a folder of assets with us via platforms such as Google Drive or Dropbox. It is important to note that any shared folders must be accompanied by a ticket submission providing an overview of your request, which should be sent to helpdesk@beyondthebrandmedia.com.

If you do not possess an internal file storage system for sharing, we can arrange a Google Drive folder specifically for you to upload your content directly.

Please include the following applicable information within your request.

Preferred Date & Time of Email Campaign: If you have a specific date and time in mind for your email blast, please specify. We strive to accommodate all timeline requests to the best of our ability.

Target Audience: Do you have a specific email list or demographic you wish to target? Whether based on order history or spending thresholds, outline your goals so we can recommend optimal targeting strategies.

Featured Products: For campaigns focusing on specific products, kindly provide their names or links. This enables us to accurately identify and highlight them from your catalog. We suggest up to 12 products per email campaign.

Product Categories: If you wish to emphasize certain categories, please share their names or links for effective call-to-action placement.

Newsletter Content: Share any sales copy, news updates, or educational content you want featured in the email campaign.

Media Assets:  If you have specific photos or videos to include, please provide access details or attach them to your ticket submission for our use. For embedded videos, we recommend hosting on YouTube or Vimeo.

Promotions & Sales: To facilitate sales or discount campaigns, provide the following details:

Offer Details (ex: 20% Off Site-wide):
Type of Promotion (Sale or Coupon):
Start Date and Time with Timezone:
Expiration Date and Time with Timezone:
Exclusions, if any (specify items ineligible for the discount):
Would you like the offer to work with other sales, coupons, or discounts?

Please note that any sales requiring manual updating from our development team must operate within our standard office hours.

DESIRED DATE & TIME OF EMAIL CAMPAIGN

If there is a specific date and time that you would like your blast to go out, please let us know. We always do our best to accommodate request timelines.

TARGETING

Do you have a specific email list you would like this campaign to go out to? Maybe you’d like to target customers that have placed a certain amount or orders or spent a specific dollar amount. Let us know what you would like to achieve and we can take a look at the best targeting options for you.

FEATURED PRODUCT NAMES OR LINKS

If your goal is to market specific products, we ask that you submit your requests with the product names or links. That way, we can find them in your store catalog. We recommend listing up to 12 products within an email campaign.

FEATURED PRODUCT CATEGORIES

If you would like a call to action focusing on specific categories from your store, please submit your request with the category names or links.

PROMOTION & SALES

If you would like to run a sale or discount code, we ask for the following information:

– Promo Type (Sale or Coupon)
– Promo Offer (Example: 20% Off All Accessories)
– Promo Start Date
– Promo Expiration Date
– Promo Exclusions (Are there any items that should be excluded from the sale or discount?)

NEWSLETTER COPY

If you have any specific sales copy, news, or educational information that you would like featured in the email, please send us over the information and we will make sure to include it.

PHOTOGRAPHY & VIDEOGRAPHY

By default, we use imagery that is featured on your website. If you have a photo library or specific images that you would like us to have access to, please send that over to us in your request.

To feature embedded videos within an email, we recommend they are uploaded on either YouTube or Vimeo.

To submit your email campaign and automation requests to our help desk, follow these steps:

  1. Compose Your Request: Outline your email campaign or automation requirements. Include details such as the featured products, special promotions, or newsletter announcements.
  2. Use the Help Desk Ticketing System:
    Send your request through our help desk ticketing system at  helpdesk@beyondthebrandmedia.com. This ensures that all team members have access to your request and can efficiently address it.

After you submit your request, a team member will acknowledge receipt shortly. This confirmation lets you know that your request has been received and is being processed.

Request Submission

You send in your email campaign or automation request to our help desk.

Request Verification

We respond to the ticket and let you know the request has been received.

Crafting Your Email

We will work through your request, carefully reviewing your submission to craft your email.

Email Review

Once your email is created, we will send a test over for review. We’ll also let you know in your submission ticket, that your request is ready.

Request Changes

If you have any feedback or changes, respond to the ticket and let us know. We’ll work through making those changes and follow up with an updated test email.

Email Approval

We ask that our clients approve all emails before we send out any campaigns or automations. Once we receive your email approval, we are ready to schedule it or go live!

Confirmation

We take the final steps needed to go live with your email campaign. Then we’ll respond to the ticket with verification that your request has been completed.
